External R&D Administrative Assistant

As part of this team, you’ll work with the Academic Alliances team to support external engagement activities such as science panels, seminars, science days, and provide administrative support to the internal team.

Key Responsibilities:

  • Extensive calendar management with proficiencyin Outlook to manage busy calendars, schedule meetings, virtual calls, and special events - including exercising discretion as to priority and decision-making responsibility

  • End-to-end multi-location domestic and international travel arrangements

  • Process expense reports with accuracy and efficiency in line with AZ compliance

  • Conference registration and management of congress meeting requirements

  • Arrange and attend project team meetings, prepare meeting agendas, presentation and read-ahead materials and minutes

  • Assist with purchase order requisitions - gathering necessary information and documents to ensure smooth approval processes

  • Liaisewith external engagement lead on withcoordination activities for external science panels, symposiums, science days and seminars

  • Performs other administrative tasks using independent judgement and discretion

  • Plans and schedules own workload so that all activities are completed accurately and on time

  • Facilitates smooth communications between the manager and other executives, managers, vice presidents, direct reports and employees; and between the manager and external parties such as suppliers, customers, and the public

  • Acts as part of a wider support administrative team working together to share best practices, support and resolving problems

  • As a member of the administrative support community, responsible for providing back-up support and other assistance to other administrative staff, including training, and for contributing actively to the on-going development and implementation of shared practices.

Requirements:

  • Associate degree and minimum of 3 years administrative experience

  • Flexibility to adapt to changing business needs or project-specific requirements.

  • Strong analytical and soft skills as well asexcellent communication skills.

  • Well-developed organizational and interpersonal skills. 

  • Good knowledge of management practices and tools.

  • Ability to assess issues/risks and effectively implement remediation measurements.

  • Experience of working within a complex global organization

  • Demonstrate intermediate to advanced PC skills and ability, including Microsoft office and other industry applications, e.g. SharePoint, Zoom and Microsoft Teams

  • With an eye for detail, manage multiple projects/tasks simultaneously and effectively

  • Forward-looking, results-oriented, focused/proactive problem solver

  • Works well independently, as well as in a team setting

  • Ability to prioritize tasks and meet deadlines

  • Flexible with a 'can-do' attitude

  • Keen understanding of professional and diplomatic interpersonal skills

  • Possesses general knowledge of working globally within a variety of cultures

Preferred Qualifications:

  • Experience of working in a global organization with complex/geographical context.

  • Experience of working in a pharma or healthcare environment 

  • Experience from working with project management 

  • A high degree of personal credibility when interfacing with organisations internal and external to AZ
